Maintenance Management Module Overview
The Maintenance Management Module within the Main Roads Western Australia Heavy Vehicle Accreditation (WAHVA) scheme is designed to ensure that heavy vehicles are maintained in a safe and reliable condition. This module emphasises the importance of regular scheduled maintenance, various inspections, fault reporting and repair to enhance vehicle performance and road safety.
Compliance
To comply with the Maintenance Management Module, operators need to adhere to several key standards:
Maintenance Management Plan: A formal document outlining how the Operator will comply with the WAHVA standards.
Maintenance Schedule: Operators must establish a comprehensive maintenance schedule based on the manufacturer's recommendations and industry best practices. This schedule should outline routine maintenance tasks and inspection intervals.
Fault Recording and Reporting: Drivers must be able to record and report faults they identify at any time including the daily vehicle check, during a journey and at the end of their shift.
Fault Repair: Operators must provide instructions on how faults are to be assessed, prioritised, monitored, repaired and tested including who is responsible for each task.
Vehicle Inspections: Regular inspections must be conducted to assess the condition of vehicles. This includes pre-trip inspections, periodic checks, and detailed inspections at specified intervals.
Qualified Personnel: All maintenance and repair work must be carried out by qualified personnel who possess the necessary skills and certifications.
Record Keeping: Thorough records of all maintenance activities, inspections, and repairs must be maintained.

Documentation
To comply with the WAHVA scheme, several key documents are required:
Maintenance Management Plan: A formal document outlining how the Operator will comply with the WAHVA standards.
Maintenance Schedule: A formal document outlining all routine maintenance tasks, inspection intervals, and related procedures.
Vehicle Daily Check: A checklist of inspection requirements to be completed by the driver prior to operating the vehicle.
Fault Records: Documentation of faults that have been recorded and reported by drivers, including dates, descriptions of the fault, who reported the fault and who they reported the fault to.
Servicing, Maintenance and Repair Records: Documentation of all maintenance and repair activities, including dates, descriptions of work performed, and who completed the work. Examples: service sheets, repair and maintenance records, vehicle service registers and vehicle faults registers.
Roadworthy Inspections: A checklist of inspection requirements set out by Main Roads to ensure the vehicle is roadworthy. This inspection template can be found at https://www.mainroads.wa.gov.au/heavy-vehicles/accreditation-auditing/
Personnel Qualifications: Records demonstrating that all personnel involved in maintenance and repair work are qualified and have received appropriate training.
WAHVA Audit
Auditors will focus on the following key areas during the assessment:
Implementation of the Maintenance Schedule: Auditors will evaluate how well the maintenance schedule is adhered to by checking the service records of individual vehicles.
Fault Recording and Reporting: Operators must provide evidence that faults identified are recorded and reported in accordance with the Maintenance Management Plan and WAHVA standards.
Inspection Compliance: The audit will include a review of inspection records to verify that regular inspections are being conducted and that any identified issues are being addressed in accordance with the Maintenance Management Plan.
Qualifications of Maintenance Personnel: Auditors will assess the qualifications and training records of personnel responsible for maintenance and repair work to ensure that they meet the necessary standards.
